New Briarcliff Community Club website

As you might have noticed, we have deployed a new Briarcliff Community Club website that can be reached at https://briarcliffclub.org. While the new look is obvious from the outside, most of the changes have been done internally and in support of the Club’s processes. BCC share transactions like selling your share, buying one from Club, or renting seasonal privileges are now done online with digital records and automatic PayPal invoicing. There are many other new features and the Club intends to use the website as a business solution for most operations. We encourage you to log-in to your account and navigate around. We’re hoping the revised design is simple and intuitive, but here are a few additional pointers: Usernames and passwords are the same as before. In addition you can use your primary registered email instead of username Each household member can register their own email to receive announcements, and also can log-in to the website with their own password We’ll continue using FreshDesk as our ticketing system, but we’re hiding it behind emails and Contact Form so that users don’t need to be bothered with or even aware of a different system Any emails and phone numbers are removed from the website to keep spammers away. Please use the Contact Us form, or email us at support@briarcliffclub.org Share owner’s data has been imported from the old website as best as it could be. Please make sure to verify all your information including household members, children’s year of birth, and primary contact. You can do so by logging in to the website (Members->Login), and navigating to Members->Shareholder Info and Members->Household Members. We’re striving to continue improving the website. Please let us know of any mishaps you may encounter, or any improvements you want to suggest.

Operations and Maintenance Fee Invoices and Payment Deadlines:

Hello BCC Members, Operations and Maintenance Fee Invoices are scheduled to be sent out Wednesday, March 22nd, 2023 via PayPal. The O&M fee for BCC Members for the 2023 calendar year will be $550.00. Membership dues will be accepted beginning March 22nd. The last day for payment of dues without being assessed a late fee is Saturday, April 22nd. A late fee penalty will be added to fees received between April 23rd through May 5th. Any member not paying their yearly O&M fee by Saturday, May 6th, 2023 will be subject to membership forfeiture. We will continue to make important announcements for the upcoming 2023 pool season, so please stay tuned. Thanks!

Briarcliff Community Club Secretary Position

Taking notes, providing a typed copy to the members of the board for approval/corrections. When new website is running, posting a copy of the minutes on the website. Maintain a printed copy of the minutes for the records. Keep the pool records, which includes history of the pool and are currently housed in 2/3 boxes. Serve as the administrator for the Briarcliff Community Club Facebook page review requests for memberships and make sure that the person requesting is a member of the pool by checking the membership list at the BCC website. post information for members on Facebook page respond to questions posted on the Facebook page  Coordinate insurance and insurance matters. if there is physical damage to the property, as soon as possible take pictures or arrange for someone to take pictures of the damage. This is very important as this is information that the insurance company will want. The board votes on whether or not to renew the policies as they come due. gather and provide information requested for the Workman’s comp insuranceprovider We have our insurance through Herron-Connell Insurance Group, 665A Emory Valley Road, Oak Ridge. Our Agent is Cyndi Jeffers, CIC. Her office number is 865-483-8483 x 108, cell 865-679-4668. Email cjeffers@herronconnell.comThe Workman’s Comp Ins is with Markel and the due date should be 6/10/23.The Commercial Package policy is with West Bend Mutual and is due for renewal June 14, 2023.The Director and Officers Insurance is due around the same time as the Commercial Package.The bills go directly to the person on the board that maintains the checkbook and keeps up with financial records for BCC.(Note: the person taking the secretary position in 2023 will need to contact Cyndi Jeffers and let her know that they have taken over the position from Susan Woods and provide their contact information to Cyndi.)  Additional assignments may be made by the board as needed.
